Reviewing Alerts & Changes

Written by Eric Hwang

Reviewing Alerts

Baton Health continuously monitors your practitioners' licenses for changes. When a change is detected (a status update, an expiration date shift, or a new board action) it is surfaced in the Alerts tab so your team can review and document a response.

This gives you a centralized, auditable record of what changed, when it changed, and how your team responded.

Getting to Alerts

Navigate to the Alerts tab from the home page using the menu bar at the top of the screen

What You'll See

Each row in the Alerts table represents a license where a change was detected. The table shows:

  • Full Name: practitioner's name

  • License Number: license number change was detected on

  • State: license state

  • Status: license status, with a before/after indicator if it changed

  • Expiration Date: license expiration, with a before/after indicator if it changed

  • Board Action: whether a board action is present, with a before/after indicator if it changed

  • Status Type: your team's acknowledgement status for this alert (see below)

  • Notes: an icon indicating whether a note has been added

Acknowledgement Statuses

Every alert has a Status Type that allows your team to track their progress:

  • Not Reviewed: newly detected, no action taken yet

  • In Review: someone is actively looking into it

  • Flagged: marked for follow-up or escalation

  • Completed: reviewed and resolved

You can update the Status Type directly from the dropdown on each row, or in bulk by selecting rows using the checkboxes on the left and using the Mark Selected As dropdown at the top of the page.

Adding Notes

You can add notes to any alert to document your findings or communicate context to teammates.

To add a note to a single alert, click the Notes icon on that row. To add a note to multiple alerts at once, select the applicable rows using the checkboxes on the left and choose Add Note To Selected Rows at the top of the page.

Previous notes are archived rather than deleted, so the full history is preserved.

Filtering the Table

Use the filters at the top right to narrow what you're looking at:

  • Roster: view changes for a specific roster

  • Status Type: filter by acknowledgement status (e.g., show only Not Reviewed alerts)

  • Change Type: filter by what changed

Reviewing a Change in Detail

Click any row to open the detail panel. Here you can see the full audit trail, including who changed the status on an Alert and any notes they may have left.

Common Questions

Q: How often does Baton Health check for changes?

A: Check out our Data Update article to learn about our approach.

Q: Why do some fields show multiple values, stacked on top of each other?

A: When a field shows two values (e.g., "Active → Expired"), it means that specific field was what changed. If only one value appears, the field is showing the current value with no detected change on that field for this alert.

Q: Is the audit history permanent?

A: Yes. Every status change and note is recorded in the History tab on the detail panel and cannot be deleted.
